Three Ways the PaperStream® Capture Pro DocuWare Connector Improves Work

This month, we’re rolling out our new document scanner software update: PaperStream Capture Pro 4.1 now includes a connector directly to DocuWare, an industry-leading document management solution for healthcare and more.

Here are three ways the update improves capturing, managing, and processing scanned documents with DocuWare. Moreover, learn how business processing outsource (BPO) professionals can benefit.

#1 Simplify Digitization Directly to DocuWare

For fi Series and SP Series RICOH Document Scanners, the new integration connects PaperStream Capture Pro directly to DocuWare. You’ll see this as an additional saving destination on select Ricoh Document Scanner display panels.

For more than 19,000 DocuWare customers currently, the update automates a number of steps in your workflow:

Scan directly to DocuWare, eliminating steps in scanning and saving.

  • Speed-up information access within your organization with data indexing options for improved filing.
  • Reduce the possibilities of errors in iterative data sharing in a BPO (business process outsourcing industry) to one point of information in DocuWare.

The update now enables you to register key indexed information in DocuWare, such as file types, or keyword references.

#2 Faster Image Review During Scanning

Another notable improvement is the ability to check images more quickly during scanning.

With many current capture software options on the market today, scanning continues to involve the overly time-consuming process of waiting for the completion of batched scans in order to review information and images.

In today’s fast-paced work environment, that can be a deficit. Research shows that an average-sized hospital can produce over eight million documents monthly for processing, while the insurance industry processes over 100 million paper documents annually.

Given this context, high-volume scanning continues to be integral, and time-lag can prove to be a liability to efficiency and productivity.

Instead, with PaperStream Capture Pro’s newest version, you can quickly select and review any scanned image. Then, enlarge the scanned document view to ensure you’ve captured all the data.

For professionals in both front-facing and back-end administrative roles, this reduces steps in everything from loan processes to tax preparation, insurance documentation and educational material preparation.

#3 More Centralized and Efficient Data Management

In roles and organizations where centralized scanning is a core operating function, such as the business process outsourcing (BPO) industry, these updates offer many benefits, which may include:

Decreased labor and labor costs

  • Improvements in data accuracy
  • Reduced tedium in manual activities
  • Potential for higher-value tasks and work

Reducing the need for manual tasks and manual entry can result in less errors and back-and-forth. With the newest update, your organization can optimize your time for more valuable work, from patient care, to enhancing employee experience.
