Definition: What Is DirectScan Cloud Scanning?

DirectScan Cloud is a deviceless scanning mode on ScanSnap scanners. Instead of initiating a scan from a connected Windows PC, Mac, iOS, or Android device, you start the scan at the scanner itself and the images are delivered directly to a cloud destination — an email address, Dropbox, etc. Because Zoho Expense accepts receipts by email, a ScanSnap scanner can be configured once to send scanned receipts straight into a user's Zoho Expense account.

The practical effect: the receipt is in your expense system before you sit back down at your desk.

Why Receipt Capture Is Still the Bottleneck

Most organizations still manage expenses in one of three ways: spreadsheets, general accounting software, or a dedicated expense management tool. Live polling during the ScanSnap and Zoho webinar reflected that split — roughly 34% of attendees were on manual spreadsheets, around 40% were using accounting software, and only about 15% had a dedicated expense management tool in place.

Val, who spent years running a business before joining Zoho, described the spreadsheet version of this problem plainly: give eight to ten instructors and four partners an Excel expense template and you will get back roughly 30 different versions of it. That business moved to SAP Concur, an implementation that took about six weeks. How the ScanSnap and Zoho Expense Workflow Runs End to End

• Capture: Swipe a corporate card, photograph a receipt with your phone, or scan a stack of receipts with your ScanSnap scanner.
• Deliver: DirectScan Cloud sends the scan to your Zoho Expense email address; card and ride-share transactions flow in through direct connections.
• Recognize: Zoho Expense reads the receipt and populates payee, amount, currency, and category.
• Auto-match: Receipts are matched to card transactions; anything that does not match can be corrected manually.
• Policy check: The expense is checked against your company rules, with duplicates and violations flagged.
• Report and submit: Reports are generated from policy-compliant expenses and routed for approval.

In the live demo, a full-page Fairmont Dallas hotel receipt was scanned from a ScanSnap directly into Zoho Expense. The system identified it as a hotel expense, picked up the correct currency and amount, applied the category, and flagged it as a possible duplicate because a test copy of the same receipt already existed in the account.

Where Scanning Beats Phone Capture

Phone capture is excellent for receipts collected on the move. Val's example: his son, a high school teacher and baseball coach, works with a taco truck called El Cenote and captures supply receipts on his phone throughout the day. Zoho Expense learned the pattern — the same gas station in the morning is categorized as drinks and ice, while the evening visit to that same station is categorized as gas and propane.

Full-page documents are a different problem. Hotel folios, tax records, and interest statements photographed on a phone are difficult to read and difficult to process. Ideally, those should go through a scanner at your desk, which is where the two capture methods complement rather than compete with each other.

The ScanSnap iX2500 scans at 45 pages per minute and includes a newly designed chip that drives both scanning speed and touchscreen responsiveness. The display has grown from 4.3 inches to 5 inches, and the feed tray holds larger document sets.

Intelligent image processing means you do not change settings between document types — the scanner performs auto size detection, auto rotation, color detection, auto duplex, and blank page removal on its own. A new paper protection feature uses sensors to detect a document loaded far enough out of alignment to hit the edge of the scanner and stops the scan to prevent damage.

Setup and connectivity have been simplified as well: open the cover to wake the scanner, use Bluetooth setup to find the device automatically, and connect over USB-C or wifi. Windows, Mac, iOS, and Android are all supported. Small receipts can be placed in the included receipt guide, or fed directly into the self-centering feed tray — sideways, upside down, or right side up, since ScanSnap auto-rotates them.

Building Policy Into the Process

Capturing receipts faster only helps if the downstream review is also automated. Zoho Expense supports both hard and soft rules. One example from a real finance policy: receipts required for anything over $75; between $75 and $100, a lost receipt could be replaced with a written note (a soft rule); over $100, the actual receipt was mandatory (a hard rule).

Beyond receipt thresholds, teams can configure category limits by user and role — for instance, allowing executives to book rental cars directly while requiring approval from other team members — plus budget configurations that flag overspend.

Built-in auditing looks for suspicious modifications, duplicate entries, mismatches, and unauthorized expenses. Admin, corporate, and travel dashboards are available out of the box, along with customizable dashboards using roles, links, and custom fields. For deeper analysis, Zoho Analytics connects to Zoho Expense so managers can build their own views, graphs, and real-time dashboards.

Zoho Expense also connects to corporate cards, ride-share services including Uber and Lyft (pushing the receipt, trip, and any tip into the expense record with categorization applied), and Amazon Business, so purchases fall under the same rules and constraints. Direct integrations extend to QuickBooks, Practice, Xero, Sage, and a number of travel sites.

On the compliance side, Zoho Expense holds SOC 1, SOC 2, and PCI certification. Customers include Puma and Tata.
